Pavilion Board Looking to Involve Community as Friends of the Pavilion

 

Sheldon, Iowa – The Crossroads Pavilion Board met in regular session Wednesday, May 9th at 6:00 p.m. in the Sherwood Boardroom at the Crossroads Pavilion Event Center. Present were Brittany Behrendsen, Sean Hutchison, Kevin Cain, Marv Van Riesen, Pete Hamill, Lora Vande Brake, Tom Eggers, Peter Wagner, and Rob Roozeboom.

The calendar of confirmed bookings was the first item of old business discussed, and Behrendsen shared that every weekend through the first week of January 2019 is currently booked. In addition, the Pavilion will be partnering with NCC’s LLRC this summer in hosting “Happy Hour Yoga” once a month in June, July, and August. Cost will be $10 if participants pre-register and $15 at the door and will include a drink ticket for use during the event.

The Special Entertainment Committee will be meeting on May 15th to continue planning for the Killer Vees concert coming up on September 14th. There are also monthly meetings planned for the organization of the Accessibilities Expo, which will take place on May 4th, 2019.

In regards to the Friends of the Pavilion, Wagner had the 501C3 papers drawn up so the Pavilion can accept donations as an entity separate from the city, but shared that a board of elected members will need to be created in order to complete the process. It was decided that the current Crossroads Pavilion Board will serve as the founding board members for the Friends of the Pavilion Board and when there are enough members to allow for it, an election will be held to amend that Board.

There was also discussion surrounding the topic of what the Friends of the Pavilion will look like, and while nothing concrete was decided, there will be different levels of membership set up in order to get maximum community involvement.

New business included a revision of the current cancellation policy. While there were some questions left unanswered regarding what the official definition of “inclement weather” should be, as well as the finer details of cancellation responsibility, the date change policy was revised to state that while date changes can be made up to six months prior to an event at no charge, any date change less than six months prior to an event will incur a $250 re-booking fee. In addition, if the originally booked date cannot be filled by another party, the full rental fee will still be charged to original party.

Applications have been accepted for the position of full-time events manager and first round interviews, to be conducted by Behrendsen, Hutchison, and one member of the Board, will be set up in the near future. Second round interviews will be held with the full Board, and then a recommendation made and presented to the City Council for final approval.

The next regular meeting of the Board is set for Wednesday, June 13th, 2018, and will begin at 6:00 p.m. in the Sherwood Boardroom at the Crossroads Pavilion Event Center.
